What you will achieve in this role:
- Provide overall leadership and oversight of office administration and facilities to ensure a highly professional, efficient, and well-governed work environment
- Manage and optimize relationships with external vendors and service providers, ensuring service quality, cost control, and adherence to contractual standards
- Oversee office inventory and procurement processes, including equipment, supplies, and amenities, with budget awareness and approval oversight
- Direct mail, courier, and shipping operations, ensuring accuracy, confidentiality, and timeliness
- Act as a senior administrative point of contact for visitors, clients, and internal stakeholders, handling inquiries with professionalism and discretion
- Coordinate and support executive meetings, internal scheduling, and complex travel arrangements
- Manage calendars and scheduling for senior leadership and visiting executives, ensuring alignment with business priorities
- Proactively oversee facilities management, addressing operational risks, space planning, and service issues to maintain seamless office operations
- Provide high-level administrative support for internal and external presentations, including document review, formatting, and coordination
- Prepare executive-level reports, correspondence, and documentation in alignment with Head Office requirements
- Support strategic initiatives and special projects, providing administrative coordination and follow-through
- Promote a professional, well-run office environment that supports productivity, collaboration, and employee engagement
What you must bring to this role:
- International banking or global financial services experience, with familiarity working across regions, time zones, and Head Office stakeholders
- Demonstrated experience in senior office administration or office management within a professional services or financial services environment
- Exceptional attention to detail and accuracy in handling administrative, reporting, and documentation requirements
- Strong organizational and time-management skills, with the ability to manage competing priorities and executive-level deadlines
- Highly self-directed and proactive, with the ability to operate independently and take ownership of responsibilities
- Strong interpersonal and stakeholder-management skills, with a professional, service-oriented approach
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and experience with scheduling tools, booking systems, and cloud-based platforms
- Proven ability to handle confidential and sensitive information with discretion and professionalism
- Adaptable and resilient, with the ability to perform effectively in a fast-paced, regulated environment
- Solutions-oriented mindset with sound judgment and a focus on continuous improvement and operational efficiency
