About the Role

Marnet Group is seeking a highly organized, detail-oriented Operations Administrator
to support our growing portfolio of projects and internal operations. This role is ideal for someone who thrives in a fast-paced environment, enjoys managing multiple priorities, and takes pride in keeping systems, documentation, and communication running smoothly.

The Operations Administrator will play a key role in project coordination, document management, executive support, and systems administration.

Key Responsibilities

Project Management Support

  • Create and maintain organized project binders for all active projects, including:
  • Regularly update project documentation (daily updates when required)
  • Compile and maintain summaries of all projects, including:
  • Project dates
  • Costs
  • Contacts
  • Purpose and outcomes
  • Record and maintain accurate meeting minutes, decisions, and action items

Document Management

  • File and manage documents within DocuShare and other internal systems
  • File payables and accounting-related documentation in DocuShare
  • Maintain organized, accessible digital and physical records

Email & Executive Communication Support

  • Monitor and manage Owners email inbox
  • Organize emails into structured folders and prioritize urgent communications
  • Communicate directly with owner by phone for time-sensitive matters
  • Support Business Manger by organizing inbox, removing spam, and flagging priority messages

Sales & Meeting Support

  • Assist with sales documentation and related paperwork
  • Prepare and distribute sales meeting agendas and minutes
  • Maintain records of discussions and follow-up action items
  • Support follow-up tasks from sales meetings and project discussions

Systems & Program Support

  • Learn and utilize the ARGUS program
  • Update and maintain ARGUS information as directed
  • Assist with Excel spreadsheets (data entry, tracking, formatting, and basic reporting)
  • Support social media account password monitoring
  • Manage employee password records
  • Assist with creating and maintaining operational manuals
  • Process and manage vendor credit applications

Qualifications & Skills

  • Strong organizational and time-management skills
  • Exceptional attention to detail
  • Proficiency in Microsoft Excel and general Microsoft Office applications
  • Ability to handle confidential information with discretion
  • Strong written and verbal communication skills
  • Comfortable managing multiple projects simultaneously
  • Experience with document management systems
  • Willingness to learn new systems (ARGUS experience an asset)
