Job Description

We are seeking a professional and organized Administrative Assistant / Receptionist to join our
Perfect Sports
team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting various administrative functions. The ideal candidate will be proficient in office management, have excellent communication skills, and possess the ability to multitask efficiently in a fast-paced environment.

Duties

  • Greet visitors and clients at the front desk with professionalism and courtesy
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Handle appointment scheduling, calendar management, and coordinate meetings
  • Perform data entry, filing, and maintain accurate records using Microsoft Office and Google Workspace tools
  • Assist with bookkeeping tasks using QuickBooks or similar software
  • Provide customer support via phone, email, and in person, ensuring excellent service standards
  • Proofread documents for accuracy and clarity before distribution
  • Support office management tasks including supply inventory, document organization, and correspondence
  • Maintain a clean and organized front desk area to promote a welcoming environment
  • Assist in the planning and preparation of meetings, conferences and conference phone call.
  • Maintain an adequate inventory of office supplies.
  • Provide data entry and administrative support as required.
  • Coordinate the repair and maintenance of office equipment.
  • Clean and organize the common office areas (keep front office, kitchen and boardroom neat and tidy)
  • Coordinate mail flow in and out of office. Collect and distribute parcels and other packages.
  • Coordinate various office activities.
  • Provide support to the Accounting, Sales and Marketing team.
  • Perform basic bookkeeping, filing and clerical duties.
  • Provide support to Management on various projects as assigned.

Experience

  • Prior office experience or administrative support roles preferred
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with QuickBooks or bookkeeping software is advantageous
  • Strong organizational skills with attention to detail and accuracy
  • Excellent phone etiquette and customer service skills
  • Ability to handle multiple tasks efficiently with effective time management
  • Previous experience as a receptionist is a plus
  • Clerical experience including data entry, proofreading, filing, and calendar management is beneficial
