Job Description
We are looking for a fast learner, with amazing people skills that can work in a fast paced, distracting environment.
This position would be part time for 4 months, moving to casual employment afterwards, with lots of opportunity to work. Best suited for someone who has worked in a healthcare environment previously.
The Administrative Assistant is the first point of contact for visitors to Legacy Lodge and as such, is responsible for creating a warm, welcoming atmosphere for visitors, as well as for Residents who approach the Front Desk. The Administrative Assistant also provides administrative support to the Administrative Coordinator and other staff.
- Acknowledge visitors and Residents with a smile and greet them in a welcoming manner
- Assist visitors by answering queries and providing information requested in timely manner
- Assist Residents to obtain services required – e.g. hair appointment
- Answer telephone with warm greeting, including identifying the Lodge and self
- Relay voice and mail messages and correspondence to appropriate recipient
- Sort incoming mail and distribute to correct mailbox or community hub
- Handle outgoing mail
- Coordinate distribution of daily newspaper
- Prepare New Resident packages and photos.
- Coordinate and provide tours and information as needed
- Assist in calculating and submitting monthly Resident charges to CICL
- Provide technical support for the Nurse Call system as well as the telephone and computer systems
- Assist in designating and maintaining all facility fobs and keys
- Update resource and contact information of Residents to ensure timely, friendly and informative response to Residents and visitors
- Assist in problem-solving staff scheduling issues
- Assist in maintaining efficient filing systems in accordance with government standards
- Assist in ensuring accurate maintenance of Petty Cash and Resident Trust transactions

Education and Experience Requirements
- A minimum 1 years administrative experience
- Formal education of either administrative or medical office assistant
- Proficiency in using Microsoft Office programs
- Previous scheduling knowledge an asset
- Knowledge of general office practices
- Scheduling experience would be considered an asset
