Core Responsibilities
1. Accounts Payable (AP) Support
- Process and code incoming vendor invoices with a high degree of accuracy.
- Reconcile vendor statements and investigate discrepancies or missing invoices.
- Assist in the preparation of weekly or bi-monthly payment runs (EFT, Cheque, or Wire).
- Maintain organized digital and physical filing systems for audit readiness.
2. Accounts Receivable (AR) Support
- Generate and distribute customer invoices and monthly statements.
- Perform high-volume data entry for customer payments and bank deposits.
- Monitor aging reports and perform polite, professional collections follow-ups.
- Assist with new customer account setups and credit applications.
3. Payroll Administration
- Collect and verify employee timesheets and expense reports.
- Update employee records (new hires, terminations, or rate changes) in the payroll system.
- Assist in the calculation of statutory deductions, benefits, and vacation pay.
- Handle routine payroll inquiries from staff with confidentiality and care.
4. General Data Entry & Reporting
- Perform routine bank and credit card reconciliations.
- Maintain accurate records in the General Ledger.
- Assist with month-end closing procedures and the preparation of basic financial reports.
- Identify opportunities to streamline data entry processes through automation or software features.
Required Skills & Qualifications
- Experience: 1–3 years of experience in an administrative or junior accounting role.
- Education: Diploma or Certificate in Accounting, Finance, or Business Administration is preferred.
- Technical Proficiency:
- Strong command of Microsoft Excel (e.g., XLOOKUPs, Pivot Tables).
- Experience with Quickbook Online is an asset.
- Familiarity with data extraction tools (e.g., Dext) is an asset.
- Soft Skills:
- Uncompromising attention to detail and accuracy.
- Ability to manage multiple deadlines in a fast-paced environment.
- High level of integrity when handling sensitive financial and personal information.
Job Types: Full-time, Permanent
Pay: $50,000.00-$60,000.00 per year
