At M Moser Associates, proposal and presentations are key to winning projects and growing our business. As a Proposal Specialist, you will play a vital role in the development, coordination and completion of these requests. This role requires a unique combination of skills in organization, project management, copywriting, document design, and quality control. Strong communications, confidence, curiosity, energy, initiative and a true team mentality required in this position that is an essential resource to our North American team.

Your core responsibility will be to work with the team as you produce both written and visual content to convey our unique value. In this role you will take on a hybrid of responsibilities related to Business Development Production; Content Strategy & Development; and Project Coordination.

Primary Responsibilities

  • Coordinate and produce deliverables including: RFI and RFP’s, advertisements/sponsorship, and formal client presentations
  • Edit, create and produce packages for pitches, RFQ’s, proposal requests etc.
  • Create business development materials including brochures, proposal project pages, award submissions, etc.
  • Facilitate discussion with everyone involved in the proposal response to develop complex written and graphic communications in pursuit of business
  • Produce basis content and templates to be used across marketing materials and in proposals
  • Provide quality control through careful proofreading, editing and grammar checks
  • Work with graphic design team to identify, imagine and refine specialized graphics such as organization charts, diagrams, banners and image boards, etc.
  • Support project teams in the coordination of meetings, client responses, and other administrative tasks
  • Review and understand requests to identify questions and preliminary content strategy
  • Identify key submission requirements, share back with the team in written format
  • Working with project team, ensures formal questions/clarifications are collected and submitted
  • Create a workplan for response and attach responsibilities
  • Establish and lead regular meetings with team
  • Participates in project kick off meeting to establish objectives and key narrative
  • Build document outline for initial review
  • Pull standard content from marketing library and adapt as needed
  • Work with project team to create new content (as required)
  • Draft content where required for review
  • Coordinate with internal team for various inputs
  • Ensure and document all requirements are met
  • Keep team on track, making sure everyone is clear on their responsibilities and deadlines
  • Prepare drafts, collect feedback, complete all redlines
  • Perform multiple proofreads to ensure accuracy and quality
  • Ensure final content is received by deadline.
  • Complete all revisions/edits and ensure final document is complete and submitted

JOB REQUIREMENTS

As a M Moser Associates Proposal Specialist you will be a mature self-starter with undeniable graphic instincts, who not only loves to conceptualize and take the lead on projects but who also has the organizational and technical skills to execute work through to timely and accurate completion.

Qualifications & Key Competencies


  • Minimum 2-3 years of experience in a role coordinating and producing content and communications
  • Ideal candidate will have experience in AEC or related industry
  • Bachelor’s degree in Communications, Design, Marketing, Logistics, Graphic Design, Interior Design or Architecture from an accredited school preferred
  • Intermediate proficiency in Adobe Creative Suite (Photoshop, InDesign, Illustrator, and Acrobat), MS Office (Word, Excel, PowerPoint)
  • Experience in B2B writing with an ability to write in a number of styles and use them effectively
  • Excellent written and verbal communication skills
  • Desire to learn quickly and jump into projects, working independently with minimal supervision

Compensation Range: $65,000 to 85,000 CAD per year
