Description


The Property Supervisor is responsible for the day-to-day management and operational oversight of facility services across an assigned portfolio of Reena locations. This includes ensuring safety compliance, coordinating preventive and corrective maintenance, overseeing building systems and equipment repairs, and responding to emergencies. The role supervises a team of Property Service Persons, delegating tasks through an Order Tracking System and monitoring performance to ensure service excellence and adherence to health, safety, and regulatory standards. The Property Supervisor also liaises with external contractors, vendors, inspectors, and internal stakeholders to support effective facility operations. This position serves as a key contributor to continuous improvement initiatives.

Key Responsibilities:


Operational Responsibilities



  • Monitor, assign, and oversee all maintenance and repair tasks using the Order Tracking System.

  • Initiate and manage recurring service requests to ensure preventive maintenance is completed on schedule.

  • Supervise contractors and coordinate service delivery at assigned locations, in collaboration with the Property Assistant.

  • Maintain working knowledge of all building systems, including HVAC, plumbing, mechanical, electrical, safety, and health equipment.

  • Ensure all building systems operate safely, efficiently, and in accordance with codes and regulations.

  • Conduct regular inspections of interiors, exteriors, and mechanical systems to ensure optimal condition and compliance

  • Maintain accurate records of scheduled maintenance, repairs, and warranties.

  • Enforce organizational SOPs, safety protocols, and compliance with building codes and government regulations.

  • Liaise with Direct Support Supervisors every six months to review and initiate renovation and maintenance needs.

  • Prepare maintenance and equipment reports as required.

  • Meet with inspectors and health and safety officials as needed.

  • Respond to emergencies and after-hours calls as directed by the Property Manager.

  • Maintain and update emergency contact lists in conjunction with the Property Assistant.

  • Ensure cleanliness, security, and safety across assigned locations.

  • Support continuous improvement initiatives by identifying opportunities for operational enhancements.


Leadership & Staff Supervision



  • Supervise and support Property Service staff, delegating assignments and monitoring performance.

  • Conduct regular one-on-one supervisions and annual performance evaluations.

  • Oversee staff onboarding, training, and compliance with mandatory certifications.

  • Manage administrative duties related to staff, such as scheduling, payroll submissions, and incident reporting.

  • Meet with staff regularly to review property job requests and ongoing projects.

  • Participate in Property Department and Joint Supervisors meetings.

  • Collaborate with Human Resources for recruitment, hiring, and staff development as needed.

  • Promote a positive team environment and model leadership aligned with organizational values.

  • Follow the Collective Bargaining Agreement (CBA) when supervising and managing unionized staff, ensuring compliance with all relevant provisions.


Administrative & Compliance Responsibilities



  • Maintain documentation of building equipment, warranties, and service history.

  • Update warranty tracking systems regularly.

  • Assist in vendor negotiations and ensure contracts align with Reena’s policies and procedures.

  • Purchase tools, equipment, and supplies within budget and approval guidelines, in consultation with the Property Manager.

  • Stay current on relevant legislation, building codes, safety standards, and sector best practices.

  • Ensure compliance with all occupational health and safety regulations and promptly report concerns.
  • Support internal audits, inspections, and safety reviews as required.


Financial & Resource Management



  • Promote and model effective and efficient use of agency resources.

  • Monitor resource utilization and adjust decisions based on timely feedback.

  • Allocate resources to other departments as needed to support organizational needs.

  • Ensure cost-effective purchasing and budget-conscious planning in all operational areas.


Stakeholder & Vendor Relations



  • Build and maintain positive relationships with contractors, suppliers, government officials, and other external partners.

  • Act as a representative of the Property Department in all interactions with internal and external stakeholders.

  • Understand and respond to the needs of community partners and stakeholder groups.


Qualifications:



  • College diploma in a relevant field such as Facility Management, Building Systems, or Property Maintenance.

  • Certifications in any of the following are preferred: Electrical, Plumbing, HVAC Technician, or Facilities Technician.

  • Minimum 2–3 years of supervisory experience in property services, building operations, or as a site superintendent.

  • Strong knowledge and hands-on experience with HVAC, plumbing, electrical, carpentry, appliance repair, commercial renovations, and fire/building codes.

  • Proven ability to plan, coordinate, and manage construction, maintenance, and repair activities across multiple sites.

  • Experience preparing budgets, cost estimates, status reports, and procurement documentation.

  • Basic understanding of budgeting principles and financial accountability in a non-profit or unionized environment.

  • Ability to read and interpret engineering drawings, blueprints, sketches, and technical specifications, and to accurately estimate construction or remodelling costs.

  • Familiarity with AutoCAD or similar CAD software is considered an asset.

  • Proficiency in Microsoft Outlook, Word, and Excel; knowledge of other Microsoft Office applications is an asset.

  • Valid Ontario Class G driver’s license in good standing and regular access to a reliable vehicle.
