About the Opportunity

This is a great opportunity for an experienced administrative professional who enjoys being at the heart of operations and making a meaningful impact every day. You'll play a key role supporting an Operations team within a commercial real estate environment, helping ensure buildings, vendors, and tenants are all supported with care and efficiency.

Working closely with property management, contractors, tenants, and internal partners, your work will directly contribute to safe, well-run properties and positive tenant experiences. This role is ideal for someone who thrives in a people-focused setting and takes pride in being the go-to administrative expert others rely on.

Your Responsibilities

  • You'll provide day-to-day administrative support to the Operations and Property Management teams.
  • You'll coordinate calls, correspondence, mail, and inquiries with professionalism and care.
  • You'll manage purchase orders, invoices, vendor setup, and data entry using Yardi and internal systems.
  • You'll act as a key point of contact for tenants, contractors, and visitors, ensuring concerns are addressed promptly.
  • You'll support compliance by managing work permits, contractor clearances, incident reports, and safety documentation.
  • You'll maintain accurate records, reports, and filing systems while supporting monthly and ad hoc reporting needs.

Skills and Qualifications

  • 4+ years of administrative experience, ideally within commercial real estate or property operations
  • Strong organizational skills with the ability to multitask and meet deadlines
  • Working knowledge of accounting processes, invoicing, and purchase orders
  • Proficiency with Microsoft Word and Excel, experience with Yardi is required.
  • Clear communicator who builds positive relationships with diverse stakeholders
  • Self-starter mindset with comfort working in a fast-paced environment
