Position Summary


We are looking for a Portfolio Administrator to join our Back Office Operations Team.  Reporting to the Compliance and Operations Manager, you will be responsible for all portfolio administration activities for Marquest and any related companies, partnerships and investment funds.

Responsibilities

  • Responsible for the reconciliation of custody account at Custodian and Harmony
  • Manage the firm’s portfolio management system including trade completion and settlement functions and reconciliation of Fund custodian accounts.
  • Complete and maintain the firm’s compliance reports related to portfolio management and trading activities and provide them to the Senior Portfolio Manager and CCO.
  • Process any Corporate Action in Harmony (i.e. stock split, name change), and manage Corporate Action notifications and ensure complete documentation.
  • Manage the administrative process of daily trades, which includes but not limit to entering any Fees sent from Fund Accounting Team, entering all trades sent end of day from the Brokers, sending the Broker trade allocations for daily trades, sending trades to the Custodian, uploading trades to the Valuations Team, etc.
  • Manage portfolio transactions which include setting up any new securities as needed, removing any legend/restrictions on security, entering prices/Distribution received from fund accounting team, etc.
  • Complete Monthly AMR Issuer Report, have any names where registration is required approved by CCO, and file report with contact at Global Compliance
  • Run Stress Test Review for all funds. Advise CIO and CCO or any warnings
  • Send Monthly list of securities to be discounted to the Valuation agent
  • Responsible for NI24-101 Trade Matching report, coordinate review and approval by CCO and documentation.
  • Review Price Variance of Corp Account and review any warrants in the money.
  • Provide audit support and related schedules.
  • Support the Trader for completing Sub Agreements and coordinate settlement of new flow-through offerings.
  • Maintaining accurate data and constantly working on improving Trade Desk and Back Office workflows in order to maximize efficiency and minimize risk.
  • Working with the Trade Desk team on projects and other duties assigned from time-to-time, based on changing business environment and priorities.
  • Adhering to all internal controls and processes to proactively perform all duties with high accuracy and diligence in the fast-paced environment.

Experience/Qualifications


  • Minimum five years of relevant work experience
  • Proficiency in MS Excel as well as strong technical skills are a must. VBA Macro is an asset.
  • Knowledge of Harmony is required
  • CSC certification is an asset
  • Interest and knowledge of the capital markets
  • Great communication and creative problem-solving skills
  • Disciplined nature and attention to detail
  • Resourceful, self-starter with a passion for learning and sharing expertise
  • Aptitude for technologies an asset
  • Post-Secondary Diploma or Degree in Finance, Math, or Computer Science
