We are seeking an Office Administrator / Operations Coordinator for our Toronto office who is passionate about administrative excellence and operational efficiencies.

The ideal candidate should be highly organized, detail-oriented, and tech-savvy.

This role involves traditional administrative responsibilities and operational management with a focus on efficiency and automation.

In addition to the key responsibilities listed below, you may also be responsible for other duties or tasks as may be assigned from time to time.
Key Responsibilities
1.

Process Improvement and Automation Support:
Help identify, set up, and implement a time tracking, budget, expense, and resource management software platform to help automate and streamline financial and resource management systems and processes.


The immediate priority is time tracking, however the shortlist of platforms reviewed to-date includes some or all of the additional features mentioned above.


2. Bookkeeping and Banking:
Monitor accounting inbox and log account payables for processing.
Prepare invoices and client statements.
Prepare bank slips and deposit account receivables.
Liaise with client account payable department.
Collaborate with the bookkeeper to manage financial matters.
Help prepare financial reports and handle documentation.


3. Office Administrative Support:
Help manage and improve office administrative functions.
Monitor office calls and email inboxes.
Maintain a welcoming reception area, kitchen cleanliness, and ensure the boardroom is tidy and meeting-ready.
Plan and organize office meetings and events.
Manage document scanning, copying, and preparing courier packages.
Monitor and reorder kitchen and office supplies.
Manage building access cards.


4. Communication and Relationship Management:
Ensure effective communication with management, staff, suppliers, and clients while maintaining confidentiality.



3-5 years of experience in office administration or management (market research or professional services firm experience helpful but not required)
Highly organized and strong project management skills
Excellent communication skills (both verbal and written)
Strong proficiency in Office 365, particularly MS Excel, and other relevant software (e.g. QuickBooks Online, Power BI, Time Tracking, Budgeting or Resource Management tools) with a keen interest in software and process automation will be given strong consideration.
