We are seeking a new Office Administrator to join our team and support the efficient organization of our office operations. The role involves coordinating daily office tasks, ensuring timely client responses, and facilitating communication both within our team and with clients and general contractors. Proficiency with Microsoft Office is required, and the ideal candidate will handle dispatch tasks, ensuring prompt scheduling for client appointments and calls. Responsibilities
- Manage operations, including line phone systems and greeting with professional phone etiquette
- Oversee clerical tasks such as filing, data entry, and maintaining organized records
- Handle bookkeeping responsibilities using QuickBooks, including invoicing, expense tracking, and basic payroll processing
- Assist with vendor management by coordinating orders, payments, and maintaining good vendor relationships
- Supervise team members when necessary and support team management initiatives
- Assist in budgeting activities and monitor office supplies to ensure efficient resource utilization
- Maintain a professional environment through effective communication skills and organizational practices
Requirements
- Proven office experience with strong clerical skills and familiarity with Microsoft office.
- Experience with QuickBooks, bookkeeping, payroll, and basic budgeting processes
- Supervising experience or team management skills are highly desirable
- Excellent communication skills with professional phone etiquette
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Ability to handle vendor management tasks efficiently
- Prior experience working in an administrative or office setting is preferred
