Job Description:

AAA Canada is a manufacturing company that has been providing subcontracting and technical assistance to industrialization, production, and maintenance processes for about 15 years! We operate in the Aerospace, Ground Transportation, and Energy sectors.

A typical day?

As a key member of our team, you’ll play a pivotal role in ensuring the seamless operation of both our logistics department and service department. Your responsibilities will include:

  1. Logistics Support:
    1. Coordinating heavy-duty ground vehicle transportation activities, including scheduling shipments, arranging carriers, and tracking deliveries to ensure on-time arrivals.
    2. Communicating with carriers, vendors, and internal stakeholders to coordinate logistics operations and resolve any issues or delays.
    3. Supporting inventory management efforts by monitoring stock levels, conducting cycle counts, and reconciling discrepancies.
    4. Preparing and processing shipping documentation in compliance with regulatory requirements.
    5. Assisting with warehouse operations, including receiving, storing, and shipping goods.
    6. Coordinating with internal teams to gather information and fulfill customer orders efficiently.
    7. Maintaining accurate records and documentation related to logistics activities.
    8. Processing mail, filing, faxing, and coordinating courier activities to support the daily functions of the service department.
    9. Ensuring accurate and timely entry of information for heavy-duty ground vehicle repairs, including creating work orders and maintaining time sheets.
    10. Following up and investigating with the Corporate Finance Department on payment processing and invoice-related issues.
    11. Coding and processing invoices for the center, including supplies/vendors, utilities, and office supplies using the Oracle Cloud System or similar quality management software.
    12. Creating parts order requests and managing parts inventory, tracking, staging/kitting, and returns.
    13. Creating and reporting on fieldwork completion to monitor service performance.
    14. Entering and processing customer claims and contractor invoices promptly.
    15. Managing all actions in Field Service Oracle Cloud System, including updating technician information and customer details.
    16. Providing reports on VFN/Supplier/Work Order performance to support decision-making processes.


Qualifications:

Experience in a manufacturing or production environment, preferably with administrative support responsibilities. Extensive knowledge of Microsoft Office Suite and other Office software programs. Strong organizational skills and attention to detail to handle multiple tasks efficiently. Excellent communication skills with the ability to interact effectively with individuals at all levels of the organization. Availability to work onsite at the Mississauga location and occasional travel as required.
