Job Description

Our client is a definitive employment and labour litigation firm choice for clients in Canada. They provide strategic and thoughtful advice to a broad range of clients, including retail, telecommunication, corporate and individual clients. They have an immediate opening for a Legal Assistant. The successful candidate will work as part of a team for two senior partners. Applicants must have a legal assistant diploma from a recognized legal program. Minimum of five (5) years’ experience in a law firm, with a focus on civil litigation, particularly employment and labour litigation.


A law clerk certificate is also considered an asset. The applicant must have a strong work ethic, be collaborative, analytical, adaptable, positive, and proactive.


Responsibilities



  • Strong knowledge of legal terminology, Ontario’s Rules of Civil Procedure, and familiarity with legal procedures, protocols, and the court system, including labour and employment matters where applicable.

  • High proficiency in English, with exceptional spelling, grammar, proofreading, and editing skills.

  • Superior organizational skills with keen attention to detail.

  • Fast and accurate typing skills with diligent proofreading ability.

  • Ability to manage multiple priorities and work under pressure to meet tight deadlines.

  • Demonstrated decisiveness and ability to work independently with minimal supervision.

  • Professional attitude and ability to maintain strong client relationships.

  • Strong interpersonal skills, with a team-player attitude and enthusiasm for collaboration at all levels.

  • Proficiency with MS Office, Outlook, GhostPractice, and Adobe Acrobat.

  • Ability to efficiently merge, compile, and manage documents using Adobe Acrobat.

  • Knowledge of electronic filing through CaseLines and Ontario Portal.

  • High level of discretion and confidentiality.


Key Duties



  • Prepare, transcribe, edit, format, and revise correspondence, memoranda, reports, litigation documents, forms, and other documentation.

  • Proofread documents for proper formatting, spelling, and grammar.

  • Answer and direct phone calls.

  • Assist lawyers in the preparation and coordination of hearings and trials.

  • Record and monitor court appearance dates, pleadings, and filing requirements.Coordinate service and filing of proceedings with agencies and courts.

  • Schedule and coordinate discoveries, expert witnesses, mediations, and other court-designated hearings.

  • Monitor and follow up on evidence gathering.

  • Manage key dates and update calendars for lawyers, including meetings, appointments, due dates, and client-related activities.

  • Enter dockets and liaise with the accounting department.

  • Prepare and submit expense reports for lawyers.


Required Skills and Qualifications



  • Proven experience as a senior legal assistant.

  • Minimum five (5) years of experience in a law firm, with a focus on civil litigation, particularly employment and labour litigation.

  • Strong knowledge of legal terminology and Ontario's Rules of Civil Procedure.

  • Familiarity with legal procedures, protocols, and court systems.

  • High proficiency in English with exceptional attention to detail, word processing, spelling, proofreading, and editing skills.

  • Superior organizational skills and the ability to manage multiple activities under tight deadlines.

  • Team-player attitude with enthusiasm and ability to collaborate with all levels of staff.

  • Hours of work: 9:00 a.m. to 5:30 p.m., with flexibility required to meet important deadlines.
