Our Client
- Is a large US-based full-service law firm.
Responsibilities
- Support Real Estate and Real Estate Finance groups with administrative tasks and handling critical assignments promptly.
- Operate office equipment including computer, word processor, typewriter, photocopier, and telephone.
- Draft legal correspondence, memoranda, and documents.
- Communicate with attorneys and clients via email, fax, and telephone.
- Screen calls and take messages.
- Manage incoming mail and ensure timely delivery of outgoing mail.
- Open new files, conduct conflict of interest checks, and maintain client and general files.
- Process bills, proofread, and edit proformas.
- Enter attorney expenses for reimbursements.
- Coordinate with support personnel to distribute workload effectively.
- Manage attorney calendars, schedule conferences, teleconferences, and travel arrangements, and maintain deadline reminder systems.
- Represent attorney by obtaining and conveying information, follow up on delegated tasks, and determine appropriate action or referral to attorney.
Requirements
- Ability to proofread legal documents for grammatical, typographical, and spelling errors.
- Perform basic arithmetic calculations for verifying forms and documents.
- Minimum of 3 years of experience to understand law office policies and produce accurate legal documents.
- Strong organizational skills to prioritize tasks and meet deadlines.
- Effective interpersonal skills for communication with clients, attorneys, and staff.
- Detail-oriented with the ability to handle multiple tasks simultaneously.
- Capacity to work under time constraints and prioritize tasks effectively.
- Work may involve high mental effort and occasional overtime exceeding 40 hours per week.
