Internal Consulting Project Lead

Supporting the administration for the Employee Share Ownership Plan (ESOP). Participating in the review, management, development, and tracking of legal documentation. Utilizing project management methodologies and business processes to ensure project goals or objectives are accomplished within the prescribed period and budget. Evaluating business processes, anticipating requirements, uncovering areas for improvement, and developing and implementing solutions

Responsibilities

ESOP Administration


  • Distributing and tracking all that ESOP participant forms, statements, and any applicable forfeitures
  • Filing all pertinent forms with the corporate lawyer, copies retained and filed appropriately
  • Ensuring contributions, and any applicable distributions, to the plan are properly credited and documented
  • Maintaining and updating the ESOP blue print and shareholders agreement to ensure the material continues to support the needs of the business
  • Supporting the promotion of the ESOP plan

Contract and Legal Administration

  • Supporting the drafting, reviewing, and processing of legal documentation to ensure compliance with corporate standards
  • Tracking and updating existing corporate templates, in conjunction with legal support, to ensure different departments are using most recent documents for agreements
  • Maintaining contractual records and documentation, contractual changes and other documents for all projects that come through the Contract Management System
  • Tracking existing agreements and monitors expiry dates to ensure they are kept current (for example, leases)
  • Ensuring corporate documentation is updated and filed correctly, including tracking the organization hierarchy, shareholder documentation and agreements.

Project Management

  • Managing multiple projects and assignments
  • Working with internal clients to detail deliverables and obtain approval for in scope projects
  • Helping identify and create project teams that reflect the requirements of the initiative
  • Delegating project tasks to teams best suited to complete them
  • Conducting team meetings, identify actions, schedule team activities, resolve issues and distribute meeting minutes
  • Defining and maintaining project management documentation requirements and tools.
  • Tracking project performance and analyzing deliverables against requirements
  • Ensuring that all budgetary objectives are met and making recommendations as needed
  • Debriefing all projects and maintenance of project documentation
  • Conducting project post mortems and create a recommendations report in order to identify successful and unsuccessful project elements

Business Analysis and Internal Consulting

  • Leading ongoing reviews of business processes and developing optimization strategies
  • Effectively communicating your insights and plans to cross-functional team members and management
  • Gathering critical information from various stakeholders and analysis of historical data
  • Ensuring proposed solutions meet business needs and requirements
  • Participation in user acceptance testing
  • Managing projects, developing project plans, and monitoring performance
  • Updating, implementing, and maintaining procedures
  • Monitoring deliverables and ensuring timely completion of projects
  • Performing ongoing review and follow up of initiatives to ensure continuous improvement


Qualifications

  • Project management certification or working towards, or relevant experience.
  • Minimum of three years of business experience with a diverse background including project management, process improvement, change management, and financial management
  • Excellent communicator (both written and verbal) with outgoing interpersonal approach in interacting and supporting a varied population
  • Exceptional analytical and conceptual thinking skills
  • Excellent planning, organizational, and time management skills
  • Experience working with the review and interpretation of legal documents such as vendor and partner contracts and shareholder agreements
