POSITION: Governance and Policy Assistant – Summer Student

REPORTS TO: Corporate Governance & Policy Advisor

DEPARTMENT: Legal and Professional Services

LOCATION: North Bay

REFERENCE:

RATE OF PAY: $18.10 per hour

ACCOUNTABILITY STATEMENT:

The Governance and Policy Assistant provides administrative and analytical support to ONTC's corporate governance and policy functions. This position supports the review, organization, maintenance, and continuous improvement of ONTC's policy framework and governance records, including policy lifecycle management, document control, and records organization. This role offers hands‑on experience in public‑sector governance and policy management within a Crown agency environment.

MAJOR DUTIES/ RESPONSIBILITIES:

Assist with the review, organization, and cleanup of corporate policies, procedures, and supporting documentation
Support policy lifecycle management activities, including version control, tracking, and status verification
Review online policies within the policy management system (MyPolicies) and compare them against approved paper‑based or source documents to identify gaps, inconsistencies, or outdated materials
Assist with improving the organization, structure, and usability of the policy management program
Prepare, edit, format, and organize documents using Microsoft Word and Excel
Organize, validate, catalogue, and maintain electronic and paper‑based files in accordance with records management best practices
Scan and prepare documents for digital record-keeping and retention
Assist with corporate governance tasks, including organizing governance records and supporting documentation
Review documents and compile relevant information, summaries, or listings as required
Assist with data gathering, tracking, and basic analysis related to governance and policy initiatives
Provide general administrative support to the Legal and Professional Services team
Participate in meetings and team discussions, as appropriate
Carry out other duties related to governance, policy, and administrative support as assigned

REQUIREMENTS:

Preference given to students enrolled in a full-time post-secondary studies in September 2026 a program related to public administration, policy, governance, business administration, or a related field
Strong organizational skills with a high level of attention to detail
Demonstrated ability to manage and organize large volumes of documents and information
Excellent oral and written communication skills
Strong work ethic; energetic, reliable, and eager to learn
Ability to work independently with minimal supervision as well as collaboratively within a team environment
Ability to maintain a high level of confidentiality and professionalism
Advanced computer skills, with demonstrated proficiency in Microsoft Word, Excel, Outlook, and other Microsoft Office applications
Experience with document management systems or databases is considered an asset
Must be committed to Company Health and Safety policies and practices
