Job Description

The Condominium Manager (CM) reports to the Director of Operations and the Board of Directors. The CM is responsible for managing, maintaining, and overseeing the daily operation of the Condominium Corporation. He/she is also responsible for the maintenance and repairs of the building that he/she manages and must ensure that the Corporation is managed as effectively as possible. A diplomatic professional attitude must be maintained at all times when dealing with the public.

There is a multitude of specific duties which a CM needs to fulfill. He/she must be able to multitask efficiently and juggle responsibilities that come his/her way to complete daily duties efficiently.

Here is the outline of the Condominium Manager's responsibilities (including but not limited to):

  • Communicate and get instructions from the supervisor and report to him/her as needed.
  • Develop a good working rapport with employees, owners, and trades.
  • Check daily all mail, e-mails, faxes, etc., and follow up as required.
  • Communicate with the Board of Directors in a professional and timely manner.
  • Greet all clients, visitors, unit owners, residents/tenants, contractors, and people that visit the management team and ensure the needs of each person are met.
  • Oversee and work professionally with superintendents, cleaners, and security officers regarding the daily affairs of the condominium corporation.
  • Prepare all outgoing mail for distribution and ensure packages such as budget letters, Owner Meetings, etc. are mailed out promptly.
  • Ensure all administrative problems and inquiries are answered timely and adequately.
  • Ensure office equipment is properly maintained and serviced.
  • Compose and process various documents, reports, and correspondence to unit owners, residents/tenants, Board of Directors, and Contractors as and when required.
  • Prepare the Management report and Board Meeting package, following Duka policy, and ensure all documents are in order.
  • Ensure soft and hard copies of letters, correspondence, memos, requests, notices, etc. are maintained and kept filed and organized.
  • Ensure all databases are updated promptly: owners' lists, trade lists, service agreements, site information, liens and preliens records, contracts renewal, and expiry list on a daily/weekly basis/ as required.
  • Ensure timely collection of Common Element Fees from unit owners, following the no cash policy, issuing receipts, and updating the CEF list/record.
  • Assist in recruiting, selecting, and training new onsite staff.
  • Assist with event planning as per the Director of Operations' instructions.
  • Monitor visits and services from all trades, and file all packing slips and/or work orders for the process of payments.
  • Review and execute all invoices, and verify corresponding packing slips, work orders, or purchase orders.
  • Ensure the protocol is followed for re-issuing the keys for unit owners.
  • Perform periodic site inspections including checking the overall appearance, deficiencies, landscaping, fire equipment, utility rooms, garbage rooms etc. as per the Director of Operations' Instructions.
  • Maintain/update records of petty cash and receipts.
  • Ensure onsite staff are trained as required by the Occupational Health and Safety Act and other applicable employment legislation.
  • Ensure the Condominium Corporation property meets Occupational Health and Safety Act requirements for accident prevention.
  • Other duties as may be assigned.
