The Job!

As the Senior Commercial Property Administrator, you report to the Manager of Commercial Property Administration, and you play an instrumental role in the Commercial Operations team. You will:

  • Perform general property administration duties.
  • Support the Manager of Commercial Property Administrator and Property Managers.
  • Collaborate within your department as well as Operations, Leasing, and Accounting teams.
  • Manage a portfolio of clients/tenants for commercial properties.
  • Maintain phone and email communication with clients regarding accounts and various inquiries.
  • Handle commercial tenant lease activation and administration including lease abstracts.
  • Review and update client/tenant information on Yardi.
  • Post and approve monthly rent billings and advise on rental schedules.
  • Generate reports as requested on account activities and rent billings.
  • Prepare weekly reports on Accounts Receivable and present them to Property Managers.
  • Deposit rent payments, such as cheques, in a timely matter.
  • Identify and resolve reconciliations in collaboration with the Accounting team.
  • Track and support insurance renewals as a liaison between insurance broker and clients.
  • Support setup of tenant expense pool and review lease terms.
  • Communicate relevant notices and account information to clients/tenants.
  • Other duties as assigned.

What you bring to the job

You are an ambitious professional looking to join a team-oriented company where you can learn and grow across many years. You are smart, effective with your time, and highly organized. You also have:

  • A college or university degree in Business Administration or another relevant program.
  • A minimum of 2-3 years of experience with commercial property administration.
  • Experienced with commercial lease administration including proficiency with lease abstracts.
  • Experienced with generating AR reports and performing reconciliations.
  • Experience with Yardi Voyager, JD Edwards, and/or Property Vista.
  • Familiarity with managing portfolios with 160+ clients and multiple properties.
  • Strong communication (written/verbal) and interpersonal/relationship-building skills.
  • Team-oriented and collaborative as well as autonomous and proactive.
  • Highly organized with attention to detail and accuracy.
