Billing Specialist – Oxford Builder Supplies


Join EllisDon’s Equipment Division, where you will support billing, collections, and revenue operations for our Oxford Builder’s Supplies line.

Responsibilities



  • Review complex rental contracts, billing packages, and supporting documentation for accuracy prior to invoicing.

  • Analyze billings for correct rates, terms, equipment descriptions, part numbers, job numbers, and site details.

  • Identify billing discrepancies and work proactively with Operations, Rentals, Sales, and AR Manager to resolve issues.

  • Review and approve division‑submitted billing adjustments and credit requests, escalating items as required.

  • Lead recurring discussions with Division Leaders, Rental Coordinators, and Operations teams to address billing issues, training gaps, and recurring errors.

  • Hold divisions accountable to billing timelines, documentation standards, contract accuracy, and month‑end deliverables.

  • Facilitate resolution of complex billing issues involving multiple departments or system limitations.

  • Provide guidance on progress billings, holdbacks, milestone billing, and non‑standard billing requirements.

  • Partner with Inventory teams to correct equipment naming conventions, descriptions, and categorization across systems.

  • Work with Accounting and Tax teams to ensure billing compliance and reduce tax and reporting issues.

  • Support initiatives to standardize part numbers, equipment coding, and billing structures to improve revenue reporting accuracy.

  • Provide training and ongoing support to AR Administrators, Rental Coordinators, and divisional staff on billing processes and documentation requirements.

  • Support monthly rental cycle billing for internal and external customers across Canada.

  • Act as a subject matter expert for Texada and ERP billing functions.

  • Provide coverage for AR Administrators or the AR Manager as required.

  • Lead clean‑up of customer records, site numbers, project codes, contracts, and billing data.

  • Review open and ageing contracts monthly to ensure proper off‑rent processing and timely close‑out.

  • Review off‑rent and billing exception reports with divisions to correct errors and prevent misbilling.

  • Support AR staff with customer follow‑up related to billing issues, disputes, or documentation gaps.

  • Assist with resolving customer escalations by coordinating with Operations, Rentals, and Sales.

  • Contribute to month‑end AR activities, reconciliations, and reporting.

  • Provide audit support for billing, revenue cycles, customer files, and contract documentation.


Qualifications



  • Two to five years of experience in billing, accounts receivable, or accounting roles.

  • Experience in construction, equipment rental, industrial services, or manufacturing environments preferred.

  • Strong understanding of rental billing cycles, equipment revenue, progress billing, and holdbacks.

  • Demonstrated ability to resolve complex billing and contract‑related issues.

  • Advanced attention to detail and accuracy.

  • Proficiency with Texada, ERP billing modules, and Microsoft Excel.

  • Strong communication skills with the ability to lead discussions with divisional leaders.

  • Ability to influence cross‑functional teams and enforce billing standards without direct authority.

  • Highly organized with the ability to manage multiple priorities across multiple divisions.

  • You are comfortable working in a shop environment (Oxford Builders London Shop).


What We Offer


Competitive salary range: $55,000.00–$75,000.00. Benefits include continuous learning opportunities, professional growth, and a supportive inclusive culture. Location: London, Ontario, Canada.
