General Purpose
The Office of Registrarial Services is seeking to hire an Advising Assistant to provide front-line advising support and administrative coordination within an academic advising office. Reporting to a Senior Academic Advisor, this role plays a critical part in supporting students' understanding and navigation of academic policies, procedures, and degree requirements, while ensuring timely triage and referral to Academic Advisors and campus partners.
The Advising Assistant works with a diverse student population and is expected to contribute to a welcoming, inclusive, and respectful environment that supports student success and belonging.
This is a fast-paced, student-facing role that requires sustained attention, emotional intelligence, and the ability to manage high volumes of inquiries during peak academic periods.
Duties And Responsibilities
Provide routine academic guidance to students on program regulations, course selection, and university policies.
Serve as a first point of contact for advising inquiries via email, phone, and in-person, including triaging same-day requests and walk-ins.
Support student self-service by managing online appointment booking systems and developing advising resources (e.g., bulk email, webpages, videos) with the guidance of the Senior Academic Advisor
Maintain and manage confidential student records in accordance with privacy and institutional policies.
Communicate regularly with Academic Advisors and alert them to complex student situations.
Liaise with faculty and campus units to resolve student issues and ensure accurate information sharing.
Assist with advising-related communications, reporting, bulk emails, and the maintenance of advising tools and systems.
Requirements
Undergraduate degree.
Strong interpersonal, communication, time management, and organizational skills
Demonstrated ability to work effectively with individuals from diverse backgrounds and to support equitable access to academic advising and university services.
Ability to work independently, manage competing priorities, and exercise sound judgment.
Knowledge of (or ability to quickly learn) university academic policies, procedures, and student information systems.
Proficiency with standard office and student information technologies (e.g., Colleague, WebAdvisor, MS Office).
